ADMINISTRATIVE ASSISTANT IV
SUMMARY
Performs highly complex administrative office duties including file maintenance, answering/routing phone calls and emails, taking ID photos, fielding questions from staff, maintaining office supplies, updating filing and tracking systems, and assisting in the smooth operation of the office. All work performed under general supervision of the House Payroll/Personnel manager.
ESSENTIAL JOB DUTIES
- Serves as first point of contact with House members, staff, and the general public.
- Maintains filing systems and performs internal administrative support work.
- Assists in preparing, editing, and distributing internal/external correspondence.
- Assists in processing new employee identification cards, including processing paperwork and taking pictures.
- Assists in processing parking requests.
- Assists with onboarding process for all new hires.
- Maintains intern paperwork and tracking system.
- Performs other duties as assigned.
EDUCATION & EXPERIENCE
Experience in clerical or administrative support work. Graduation from high school or equivalent. Graduation from an accredited college is generally preferred. Education and experience may be substituted one for another.
KNOWLEDGE, SKILLS & ABILITIES
Applicant must be able to communicate effectively and professionally with members, staff, and the general public. Skill in the use of computer, applicable software, and desktop applications. Must be able to interpret and follow established department procedures. Must be able to work in fast-paced and rapidly changing environment. Must be able to meet strict deadlines. Must have flexibility to work extended hours and weekends as required. Must adhere to department dress code and demonstrate the ability to follow all policies and procedures as set forth in the House Personnel Manual of Policies and Procedures.
