Part-Time Scheduler/Administrative Assistant

Position Overview

The Scheduler serves as the primary coordinator of the Member’s daily and long-term schedule, acting as the central point of contact for internal and external communications. This position plays a critical role in ensuring the office's efficient operation by managing scheduling logistics, answering phones, and supporting the Chief of Staff and the Member with district and Capitol-related coordination. This position will also be essential in supporting the Chief of Staff in the Austin office with administrative duties beyond calendar coordination, including stakeholder engagement, document review and filing, and occasional note-taking.

The ideal candidate is highly organized, detail-oriented, and able to manage competing priorities in a fast-paced legislative environment while maintaining professionalism and a positive demeanor.

Key Responsibilities

Scheduling & Calendar Management

  • Manage and maintain the Representative’s daily schedule, including meetings, events, and travel in both
  • Austin and House District 109 throughout the interim (Summer 2026 - November 2026)
  • Coordinate meeting requests with constituents, stakeholders, legislative offices, and advocacy groups
  • Prioritize scheduling requests in alignment with the Member’s goals and office priorities
  • Prepare weekly schedules for the Member and the Chief of Staff
  • Ensure proper briefing materials and logistics are in place for all scheduled events

Office Communications & Front Desk Support

  • Serve as the primary point of contact for incoming phone calls, providing accurate information or directing inquiries to appropriate staff
  • Greet visitors and coordinate office traffic in a professional and welcoming manner
  • Monitor and respond to general office inquiries as needed

Coordination & Administrative Support

  • Assist the Chief of Staff with meeting coordination, logistics, and follow-ups
  • Support planning and execution of district events, Capitol meetings, and community engagements
  • Track invitations and RSVPs, and maintain organized records of scheduling requests
  • Coordinate with district staff to align Austin and district calendars

Constituent & Stakeholder Engagement

  • Facilitate communication between the office and constituents, community leaders, and organizations
  • Ensure timely responses and follow-up for meeting requests and invitations
  • Maintenance of office contact lists

Required Qualifications

  • Resides within Austin, TX and able to work in the Austin Capitol Office at least 4 days/week
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • High level of professionalism, discretion, and attention to detail
  • Strong interpersonal skills and customer service orientation
  • Ability to work independently while supporting a collaborative team environment

Preferred Qualifications

  • Experience in a legislative office, government, or public service environment
  • Familiarity with the Texas Legislature and legislative processes
  • Experience with calendar management systems (e.g., Google & Outlook)
  • Knowledge of House District 109, South Dallas, and its stakeholders
  • Associate's Degree, Undergraduate Junior classification or above

Work Environment

  • Fast-paced, high-demand legislative office during the interim period
  • Requires flexibility to adapt to changing schedules and priorities

Compensation & Benefits

  • 20-25 hours a week/approximately
  • Salary range between $1,300 - $1,600/month
  • Benefits provided in accordance with Texas House of Representatives employment policies
