ADMINISTRATIVE ASSISTANT
SUMMARY: Performs administrative office duties including file maintenance, answering/routing phone calls, and managing office supplies. All work performed under the direct supervision of the House Digital Media Department manager.
ESSENTIAL JOB DUTIES:
• Serves as the first point of contact for House members, state agencies, and the general public, routing calls and requests to the appropriate staff.
• Schedules photography assignments in Outlook calendar.
• Prepares or assists with preparing documents, including typing, editing, or proofreading written and electronic correspondence and other related documents.
• Monitors incoming correspondence.
• Maintain general office supplies, forms and publications at the front desk for the department.
• Develops and implements effective strategies and updated processes to foster office efficiency.
• Makes arrangements for repairs and service on office equipment.
• Performs related and backup assistance to department and agency staff as needed.
• Other duties as assigned.
EDUCATION & EXPERIENCE: Graduation from a standard senior high school or equivalent. Graduation from an accredited four-year college or university with major coursework in business or public administration, human resources management, organizational development, or a related field is generally preferred. Experience and education may be substituted for one another.
KNOWLEDGE, SKILLS & ABILITIES: Knowledge of office practices and administrative procedures; business grammar, syntax and spelling. Knowledge of records administration techniques and procedures. Ability to prepare and maintain records, files, and reports. Ability to maintain a high level of integrity and confidentiality. Ability to multi-task and demonstrate a strong attention to detail. Positive and personable with strong interpersonal skills. Ability to demonstrate teamwork, dependability, adaptability, and problem solving skills. Proficiency in the use of computer, applicable software and desktop applications. General knowledge of state government policies and procedures preferred, but not required. Applicant must also be able to communicate effectively and professionally with members, staff and the general public. Must be able to work in fast-paced and rapidly changing environment. Must be able to meet strict deadlines. Must have flexibility to work extended hours and weekends as required. Performs related work as assigned. Must adhere to department dress code and demonstrate the ability to follow all policies and procedures as set forth in the House Personnel Manual of Policies & Procedures.
GENERAL SALARY INFORMATION:
SALARY RANGE: | State salary group A15. Salary will be determined by experience and qualifications. |
